1. Introduction

Extra Rep ("we," "our," or "us") is committed to protecting your privacy. Extra Rep's privacy policy (the "Privacy Policy") explains how we collect, use, disclose, and safeguard your information when you use our athlete mentoring platform, mobile applications, and services. By using Extra Rep, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies, please you are not authorized to use our services and shall immediately cease using the services. Capitalized terms not defined herein shall have the meanings given to them in the Terms of Service found at https://extrarep.com/terms

2. Children’s Privacy & Parental Consent (COPPA Compliance)

Extra Rep is a multi-user mentoring platform. Because our services involve youth Athletes, we place the highest priority on protecting Minors.

Users Under 13: We do not knowingly collect, permit registration, or store personal information from children under the age of 13 without first obtaining Verifiable Parental Consent from a parent or legal guardian. If you are a parent and believe your child under 13 has created an account without your consent, please contact us immediately at privacy@extrarep.com.

Parental Oversight (Users Under 18): For Minors aged 13 to 17, we provide mandatory or optional parental/guardian control features, allowing parents to monitor mentor connections, view communication logs, and manage subscription settings.

Data Minimization: We strictly limit the data collected from Minors to only what is necessary to participate in the mentoring program.

3. Information We Collect

A. Personal Information Provided by You

Athlete Accounts: Name, email address, date of birth, profile photo, athletic interests, skill levels, team affiliations, and training goals.

Mentor Accounts: Name, email, professional athletic qualifications, coaching/mentoring experience, and background check verification status.

Payment & Payout Data: Processed securely through Stripe—see Section 4.

B. Platform Interaction & Communication Data

Mentorship Content: We collect and store messages, chat logs, video submissions, training logs, and feedback exchanged between Athletes and Mentors within the Platform to facilitate the mentoring relationship.

Safety Monitoring: We reserve the right to review Platform communications to ensure compliance with our community guidelines, child safety protocols, and Terms of Service.

C. Automated Usage Information

When you use Extra Rep, we automatically collect:

Device Data: IP address, operating system, browser type, and device identifiers.

Usage Logs: Access times, pages or profiles viewed, interactions with Mentors, and feature utilization patterns.

4. User Content

The Platform may allow Users to post User generated content publicly or semi-publicly. Public or visible User content may be seen, copied, saved, shared, or screenshotted by other Users or third parties. We cannot control what other Users do with information you choose to make public.

Users should not post:

  • Home addresses;
  • Phone numbers;
  • Personal email addresses;
  • School addresses;
  • Real-time location;
  • Travel schedules;
  • Practice schedules;
  • Medical or injury details;
  • Financial information;
  • Government identification;
  • Private messages from others;
  • Information about another minor without permission; or
  • Any information that could create a safety risk.

Parents and guardians should review a Minor's profile and User content before allowing the Minor to interact on the Platform.

5. Payment Processing and Stripe Integration

Extra Rep utilizes Stripe for payment processing, subscription management, and mentor payouts.

Data Handling: When making purchases or receiving payouts, your full payment card or banking details are collected and processed directly by Stripe. Extra Rep does not store raw credit card numbers or full bank routing details on our servers.

Identity Verification: Mentors must complete identity, banking, and tax verification processes managed by Stripe.

Authorized Sharing: You authorize Extra Rep to share necessary data—including name, email, contact details, date of birth, and transaction data—with Stripe to execute billing, manage subscriptions, prevent fraud, and comply with financial regulations. This data handling is subject to the Stripe Privacy Policy.

6. How We Use Your Information

We use your data strictly to:

  • Operate, maintain, and optimize the Extra Rep platform.
  • Match and connect Athletes with appropriate Mentors.
  • Process subscription billings, transaction payouts, and legal tax reporting.
  • Ensure platform safety, monitor for abusive behavior, and investigate fraudulent or unauthorized activity.
  • Communicate critical account updates, technical notices, and consented promotional materials.

7. Information Sharing & Disclosure

We do not sell your personal information to third parties for marketing purposes. We share data only under the following conditions:

Between Platform Users: We share relevant profile information (e.g., name, sport, bio) between matched Athletes and Mentors to enable the mentoring relationship.

With Service Providers: Third-party vendors who provide essential infrastructure, including cloud hosting, database management, communications tools, and security analytics, operate under strict data protection agreements.

Legal Requirements: We will disclose data if required by law, subpoena, or if we believe action is necessary to protect the safety of our Users, minors on the platform, or our legal rights.

Business Transfers: In the event of a merger, acquisition, asset sale, or restructuring by our holding company, User data may be transferred as a business asset.

8. Data Retention & Deletion

Retention Limits: We retain your information as long as your account is active or as necessary to provide services. Financial records and transaction histories are securely archived for up to 7 years to meet tax and regulatory obligations.

Account Deletion: Upon receiving a deletion request, we will delete or permanently anonymize your personal information within 30 days. Please note that historical communications sent to other Users (such as messages to mentors) may remain visible to those users in an anonymized format, stripped of your personal identifiers.

9. Data Security

We implement robust technical and organizational guardrails designed to protect your data, including:

  • Full encryption of data in transit (TLS/SSL) and at rest.
  • PCI-DSS compliant financial processing handled exclusively by Stripe.
  • Restricted employee access controls and regular application security reviews.

Disclaimer: While we execute commercial-grade security, no internet transmission or digital storage system is 100% secure; we cannot guarantee absolute security.

10. Your Rights & Choice

Depending on your jurisdiction (including rights provided under the CCPA/CPRA and other state laws), you or your legal guardian may have the right to:

  • Request access to or copies of the personal data we hold.
  • Request corrections to inaccurate or incomplete profile data.
  • Request complete erasure of your personal data (subject to legal retention exemptions).
  • Restrict or object to certain types of automated data processing.
  • Turn off cookie tracking via your web or mobile browser settings.
